In September of 2005, I accepted a position with RuffaloCODY (now Ruffalo Noel Levitz) to be the call center manager at the University of South Carolina. I moved to Columbia, SC and then had 6 weeks of training. I didn’t truly take over the operations at the call center from the client until mid-November. By the holiday break, we had not completed that many calls under my management.
But here was the problem: RuffaloCODY was contractually obligated to complete 112,000 calls by the end of that first fiscal year. I was clearly in denial about whether I could meet this goal. At the company’s winter meeting, a fellow manager who had a few years under his belt gently shook me out this la-la land I was in.
“You have to get these calls done. You know that, right?” he said. I replied with a deer-in-headlights look. “Look,” he said as he sat me down and pulled up a piece of paper and a pen, “here’s what you do.” What he wrote down and gave me was the bones of this e-book. It was a plan for staffing the call center as quickly and painlessly as possible with the most qualified callers.
When I got back to campus in January, I implemented this plan and I did staff my center super-fast. Within four weeks, the seats were filled Monday – Thursday from 5:30 – 9PM and then again on Sundays for three shifts (12-3, 3-6, and 6-9,). We also ran optional Saturday shifts and late night shifts to call East Coast prospects and Blitz Friday shifts with extra prizes. Was it grueling? Sure. But, we made 112,000 in 6 months and broke fundraising records for our client.
I’m not saying that you need to host that many shifts. We were in an unusual situation and had to make up lost time. But, if I can staff a call center from 12 callers to 83 in 4 weeks, you can get your center up and running and get a head-start on your fiscal year.
During my four and a half years with RuffaloCODY and the University of South Carolina, I refined the techniques taught to me by my fellow manager on that winter day in 2005 and added many of my own techniques. Since leaving RuffaloCODY, I have worked teaching these techniques with Academic Impressions. I’ve been the lead faculty member of phonathon conferences, given many webinars on phonathon topics (including hiring and training), and wrote a book on Phonathon Scripting.
